Conference Registration

  • All Conference, Workshop, Exhibitor Registrations are being handled through Cvent
    This system will allow payment by Credit Card, but also allows for payment by check, either in the mail or in person at the event.
  • Exhibitors Fair Information & Registration
    Exhibitors do NOT need to register as individuals!
    Sponsorships may also be confirmed and paid via Cvent.

    Student or Retired* $45 $50 advance/$55 door
  • Registration (other than Student/Retired) includes option for free Pre-Conference Workshops and one ticket to the Thursday Night Banquet.
  • *Student/Retired registrations must purchase Banquet Tickets separately if planning to attend. Banquet tickets are $50 in advance or $55 at conference.

Hotel Accommodations

NCPMA has reserved blocks of guest rooms at the Embassy Suites RTP (where the meeting is being held) in Cary, NC near the airport.

Guest room reservations are the individual responsibility of conference attendees. To make your reservations, call Embassy Suites Reservations at 1-800-EMBASSY and ask for Group Code “NMA” or use our customized group reservations site.

The room rate is $149 per night plus applicable sales and occupancy taxes.

The property is an All-Suites Hotel. Cooked-to-order breakfast, an evening reception, and wireless Internet access are all included with your room.

The group rate will be offered until September 13th. After that date, accommodations will be subject to room and rate availability. (Group rate may not be available.) It is strongly suggested that you make your room reservations early.

The Embassy Suites is located at Exit 287 off of I-40 near the Raleigh-Durham Airport and Umstead State Park. (google maps link)

What should I wear?!?!

Appropriate dress for the NCPMA Conference Meetings is business casual. Suggestions include: khaki slacks, button-up or golf-style shirts, blazers or sweaters and comfortable shoes. Remember that the hotel auditorium and conference rooms can become cool and personal comfort zones vary. To ensure your comfort, it is recommended that you bring a sweater or jacket to conference sessions.

The Annual Banquet (held Thursday evening at 7 pm) is a formal business dress event.

President’s Reception & Poster Session

The President’s Reception is Wednesday night. This is a causal gathering to meet your executive board and fellow mappers. The poster session will be from 5:30 to 6:30pm in the hotel atrium. Winners will be announced Friday morning at 8:30am.

Once again, you will have the opportunity to participate in the annual poster contest. Not only will you earn 1 credit towards your GISP certification, but you will also get the chance to showcase your individual talents. Contest consists of 2 categories “Best Analytical Map” (Most Informative) and “Best Cartographic Design” (Most Visually Appealing). Along with the 2 awards, winners will receive 2 credits towards GISP certification and renewals.

To submit a poster you can either bring it with you to the conference, send it with someone else or mail it to the address listed below. If your organization does not have a large format plotter feel free to email it to Josh Norwood (contact info above). The largest maps we can accommodate are 36”x48”. However, if you have a larger size that is permanently affixed to a supportive material then that will be acceptable as well.
You have until September 27th to sign up so please do not wait until the last minute to do so. To make sure that we have enough space to display posters, we need the final count.

Fall Conference Presentations

While talking about participation, we would love to see more presentations from our members at Fall Conference. What’s going on where you are? Have you undergone a conversion, switched from hand to automated mapping, implemented a public access or internet site, or used GPS for mapping purposes? Any of these and many other topics would make a presentation that would be interesting, and who knows, maybe helpful to our members. If you are interested in doing a presentation, contact the conference chair as listed above. The sooner you do so the better so that our committee members can work to provide you an informative, interesting conference.
